1.       Student clubs are limited to one (1) mass email a day;
24 hours must transpire between each email sent by an individual club
.
 

2.       Student clubs are able to send one (1) cancellation or correction email within that same 24 hour time span.  This email must have the word "Correction" and the subject matter from the original e-mail in the subject line. 

3.    The Joint Club Board will monitor and enforce these policies.
 

4.       If Student clubs and organizations do not comply:

a.    First offense:

                   Student clubs and organizations will receive a written warning from the JCB.

b.    Second offense:

                    Student clubs and organizations will not receive access to their club email account for the duration of two (2) weeks per policy violation. Notification of violation will be provided by the JCB to the office of Student Activities and to club.

 

5.       The size of mass emails sent from student clubs and organizations will be limited to 750 Kilobytes per e-mail.
 

6.       A joint standing committee of the Saint Ben’s and Saint John’s Senate will review these policies once per semester.   The committee will consist of:

                   SBS: President, Trustee, and Student Activities Representative/JCB co-chair 

                   SJS: President, Regent, and Joint Club Board

                   Any other Senators from either Senate wishing to participate

7.  The Joint Club Board will organize a workshop in some form to educate club leaders on the new mass email policy, respectful use of email, and alternative advertising methods. 

8.  A joint effort on behalf of both senates is needed to educate students to complain about emails to the source of those emails and/or the Joint Club Board, not IT services.
